Our client, a Global Industrial Machine Manufacturer in Noblesville, needs to add a Department Coordinator to their Application team. Our client provides machines to manufacturers throughout North America, and our associate will work with customers who are interested in purchasing our client’s machines. This is a new role for the company, and our associate will work closely with the department manager and the Application team as they gather customer specifications, develop and present proposals, set up machines to customer specifications, schedule customer visits for machine testing and coordinate delivery and set up onsite at customer locations. Qualified candidates must have prior office management / administrative support and customer service experience and a proven track record of satisfied customers. They will be working with the manager to create and establish the position’s duties and responsibilities, so they need to be able to apply their experience to this new position and be able to flex as the position grows and evolves. They must be able to work in a fast-paced environment and handle multiple priorities with minimal supervision. They need to have excellent data entry skills as well as good math skills. Most important -- they must have a ready smile, the ability to learn quickly, a willingness to pitch in and help, and a sense of humor. The duties of the job are as follows: • Answers all incoming calls and accurately enters customer information into the application software system. • Assists the Application Manager in coordinating and updating the department schedule and with other daily activities within the department. • Maintains and manages all Application department records and filing. • Assists with proposals, agreements and all paperwork required for sales and order processing. • Completes data entry in the accounting and inventory system. • Completes all invoicing, as necessary. • Processes all Application department invoices. Calls on all accounts with invoices that are overdue for the department and helps to arrange payment. • Processes engineers’ reports and timesheets. • Completes travel arrangements for all department personnel, as requested. • Sends customer satisfaction surveys to customers and records results. • Maintains and updates customer support procedures. • Maintains copies of all customer purchase orders. • Performs all clerical and administrative tasks for the Application Manager, as requested. • Coordinates client visits including but not limited to travel arrangements, catering, and reserving conference rooms. • Assists the accounting department, as needed. • Enters and maintains status reports for Application Manager to monitor. Our client, a Metal Fabricator in Carmel, needs a Packer to join their team. Our associate will package small items (such as screws, nuts and bolts) in plastic bags for shipping. He/she will pull items from bins, put the items in bags and document that the items have been picked and packaged appropriately. Ideal candidates will have • HS diploma or GED, 1 mo. related experience or training or equivalent combination of education & experience • Prior employment longevity • Great Attitude, Great Attendance • Ability to stand for long periods of time • Excellent detail orientation • Ability to work with minimal supervision while maintaining appropriate level of work activity • Ability to cross train/be flexible • Ability to reach with hands and arms, stoop, kneel or crouch. Associates will be standing, squatting and bending. • Ability to move up to 10 pounds, frequently lift and/or move up to 25 pounds. Salary $10.00 per hour, evaluation hire. Calls on all accounts with invoices that are overdue for the department and helps to arrange payment. • Processes all field service & application engineer’s reports and timesheets. • Maintains service response and customer feedback reports. • Coordinates and ships the field service engineer’s tools kits to and from customer locations. • Completes travel arrangements for all department personnel, as requested. • Processes and orders parts and tools for customers and field service engineers via purchasing, as needed. • Sends customer satisfaction surveys to customers and records results. • Maintains and updates service and customer support procedures. • Maintains copies of all customer service request purchase orders. • Performs all clerical and administrative tasks for the Service Manager, as requested. • Assists the accounting department, as needed. • Updates and maintains machine PM schedules, including machine history. • Prepares PM quotes and job estimates for Service Manager to review and approve. • Enters and maintains daily status reports from Field Service Engineers for Service Manager to monitor.
